Executive Assistant Business Partner

We are seeking a highly organized and detail-oriented Executive Assistant Business Partner to provide administrative and business support to the President of our Infrastructure Business. The ideal candidate will possess excellent customer service skills, proficiency in Microsoft Office Suite and the ability to manage complex schedules. This role requires a professional and discreet individual who can maintain confidentiality and handle sensitive information with care. The Executive Assistant Business Partner will play a critical role in maintaining the smooth operation of our daily business and will be responsible for a variety of tasks, including calendar management, correspondence, and data entry. In addition, this key role will support the President of the Business Segment in a variety of tasks related to Business Development, Strategic Projects and the documentation and actionable recaps from key business meeting with the leadership team. 
A successful Executive Assistant has the ability to think on their feet and make proactive decisions quickly and efficiently with little supervision. They're resourceful and possess the ability to thrive in an environment where they can take initiative.

 

Responsibilities:
•    Assists the President with daily administrative duties and completes a variety of administrative tasks that include completing expense reports, composing and preparing correspondence, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings.
•    Provide administrative support to the President and executive team, including scheduling meetings, preparing presentations, and organizing travel arrangements.
•    Manage complex calendars, including coordinating with team members to ensure timely meetings and appointments.
•    Develop and maintain organized files and databases, both physical and digital (proficiency in Microsoft Teams). Utilize Google Suite and Outlook Calendar to manage email, scheduling, and data entry
•    Assists and supports President in preparing for meetings, including preparing meeting materials, keeping track of meeting progress and follow-up items, and preparing and revising correspondence and other documents, as necessary.
•    Works closely and effectively with the President and executive team to keep them well informed of upcoming. commitments and responsibilities and follow up appropriately.
•    Demonstrate ability to plan and organize large-scale meetings and host TEAMS LIVE meetings
•    May be involved in unique projects and demands that require excellent planning coordination, leadership and organizational skills
•    Work under minimal supervision, using solid judgment to determine the appropriate action in non-routine situations
•    Providing back up assistance to other administrative support team members as needed and collaborate with other executive administrators to provide coverage during PTO
•    May travel to assist with planning and preparation of meetings, presentations or training 

 

Requirements:
•    Bachelor’s degree in Business Administration, Finance, Marketing or related field 
•    Or 5+ years’ experience as an Executive Assistant to a C-Suite leader
•    Proficiency in office management systems and procedures
•    Excellent knowledge of MS Office
•    Exemplary planning and time management skills
•    Ability to multitask and prioritize daily workload
•    High level verbal and written communications skills
•    Discretion and confidentiality
